The Shift in Operational Thinking—Embracing AI-Driven Process Optimization

Artificial Intelligence (AI) is the next frontier for business, promising to streamline operations and boost productivity.

But here’s the reality: It’s not just about adopting AI—it’s about understanding where AI can genuinely move the needle.

For most enterprises, the challenge isn’t a lack of technology, but a lack of real visibility into how their operations run beneath the surface.

Is Enterprise AI the Solution, or Just More Noise?

AI's potential lies not in adding complexity but in uncovering and addressing hidden inefficiencies. The real question isn’t, “Should we implement AI?”—it’s,

  1. “Can AI reveal what’s really happening within our processes—and help us act on it?”
  2. “Are we applying AI where it matters most, or simply layering technology over operational blind spots?”

At Skan AI, we believe AI should be a lens into how your complex processes run. Our approach to process intelligence starts with observing work where it happens: on your employees’ desktops.

This creates the most comprehensive dataset of how people really work across any process and every application. We then use AI to reveal the invisible workflows, the hidden processes, and the gaps that drive inefficiencies.

With this insight, our customers can move beyond guesswork. They can optimize processes based on how people actually perform work, not on how they think it should be done.

Creating a Digital Twin of Your Enterprise

Imagine a complete, end-to-end replica of your organization’s operations—a digital twin that maps your workflows, interactions, and handoffs across people, processes, and technology. At Skan AI, this isn’t a distant vision; it’s the reality we bring to enterprise operations today. Our technology constructs a 360-degree digital mirror of your organization, capturing each nuance of your operations to reveal how work actually flows through every application, screen, and step.

This digital twin doesn’t just map out processes; it uncovers the hidden inefficiencies, bottlenecks, and points of friction that traditional process mapping can miss. By observing and analyzing the full spectrum of actions and interactions in real time, Skan AI creates a comprehensive view of your enterprise’s true operational dynamics, moving far beyond assumptions or static snapshots.

For our customers, this means clarity and control at a level that has never been possible before. Instead of layering on additional complexity, Skan AI allows you to see operations as they are—dynamic, multifaceted, and ripe for transformation. Armed with this digital twin, our customers can act with precision, based on genuine insights into how work is performed, not on idealized or oversimplified models.

What Is The AI in Skan AI?

At its core, the AI within Skan AI isn’t reserved for futuristic, niche applications—a common misconception is that AI only applies to cutting-edge industries, research labs, and now chatbots.

In reality, it’s about observing, understanding, and decoding everyday operations. Our goal is to give businesses more visibility into how their teams perform than ever before.

To do this, we leverage three key AI technologies: Computer Vision, Natural Language Processing (NLP), and Deep Learning.

Think of these as different senses and skills working together—seeing, reading, and thinking—each playing a critical role in revealing your enterprise's hidden patterns.

How Skan AI’s Framework Functions: Seeing, Reading, and Learning

Computer Vision

Observing Every Action in Real Time

Computer vision: A field of artificial intelligence that allows computers to interpret and analyze visual data, such as images and videos, to understand and identify objects and people. This technology essentially aims to replicate how humans see and understand the world around them.

How Computer Vision Works

Skan AI captures information using a desktop-based software tool for operators/agents called the Virtual Assistant (VA). This tool works as both an observer and a security asset, capturing detailed process data while adhering to strong privacy measures.

The VA’s main function is non-intrusive process discovery and optimization. Using advanced computer vision algorithms, it can:

  • Capture every click, drag, or keystroke, much like an attentive coach monitoring every move, but with the focus on efficiency, not surveillance.
  • Extract text and data directly from screens, even from complex or unstructured interfaces, transforming it into clear, usable information.

Client Control

A key advantage of Skan AI’s framework is that clients have full control over what the VA observes. Before starting, Skan AI’s customers outline specific requirements, selecting which applications and data fields are included within the observation scope. This ensures the process aligns with unique client standards while protecting privacy.

While computer vision captures the actions, Natural Language Processing (NLP) contextualizes these actions, making sense of patterns and intentions behind each workflow. This combination enables Skan AI to deliver insights that go beyond raw data, allowing enterprises to understand their processes on a much deeper level.

Natural Language Processing

Understanding the Context

Natural language processing (NLP): A branch of artificial intelligence (AI) that allows computers to understand, interpret, and manipulate human language. NLP uses machine learning to process text and data, and can be applied to written text and speech.

How NLP Works

Think of NLP as the translator that takes the raw data collected by Skan AI's Virtual Assistants (VAs) and contextualizes it, ensuring that every action—whether it’s a click, keystroke, or screen interaction—fits seamlessly into the broader business framework. In other words, NLP helps make sense of what’s happening in real time.

Feature Extraction and Anonymization

At the heart of Skan AI's NLP capabilities are feature extraction and anonymization services, which reside on the gateway. These services leverage advanced language models to summarize, label, and anonymize the observed actions, preserving the privacy and security of your sensitive data.

One key NLP capability is anonymization. Our anonymization service uses specialized language models to identify and obscure any personally identifiable information, such as names or sensitive data. This ensures that the insights Skan AI provides never compromise the confidentiality of your employees or customers.

The anonymization process leverages two main NLP approaches:

  1. Named-Entity Recognition (NER): This technique allows the system to detect and classify discrete entities like people, organizations, locations, etc. within the observed data.
  2. Part-of-Speech Tagging: This analyzes the grammatical structure of the text, identifying words as nouns, verbs, adjectives, and so on. This helps the system understand the context and meaning behind the observed actions.

By combining these NLP methods with proprietary algorithms, Skan AI's anonymization service can effectively identify and mask any sensitive information, enabling the platform to generate comprehensive process insights without compromising data privacy.

Industry-Leading Language Models

To power these advanced NLP capabilities, Skan AI has deployed industry-leading language models, including Stanford's renowned NER tagger. These models are hosted internally on Skan AI's own infrastructure, rather than relying on external services. Importantly, Skan AI does not modify or retrain these models, ensuring the integrity and reliability of the NLP outputs.

Comprehensive Process Understanding

By marrying this NLP-driven comprehension with the detailed visual data captured by Skan AI's computer vision, the platform can accurately map your organization's workflows, identify process variants, and highlight potential bottlenecks or inefficiencies. It's a comprehensive approach that transforms raw observations into actionable intelligence, empowering you to make informed decisions that drive operational excellence.

Deep Learning

Weaving Actions into Operational Intelligence

Deep Learning: Uses artificial neural networks to teach computers how to process data and make decisions. Deep learning models are trained on large amounts of unlabeled data that can recognize complex patterns to make predictions and produce insights. The term "deep" refers to the multiple layers of artificial neurons in the network, which can range from three to thousands.

How Deep Learning Works

Once our system captures and contextualizes actions, Skan AI’s Deep Learning models spring into action creating process maps and reports.

Typically, deep learning models are used in process intelligence to analyze large volumes of data and uncover complex patterns that would be difficult for humans to detect. For example, deep learning algorithms can sift through transaction records, log files, and other operational data to identify bottlenecks, recognize automation opportunities, and even predict future trends.

Going Beyond Pattern Recognition

Skan AI takes a unique approach to deep learning that goes beyond just pattern recognition. While the platform still leverages deep learning to transform raw event data into high-level task insights, Skan AI's deep learning capabilities also play a crucial role in protecting sensitive information.

The platform employs advanced deep learning models, like the Segment Anything Model (SAM), to identify and obscure sensitive information within the observed data. This could include redacting names, account numbers, or other confidential details without compromising the overall process insights.

Transforming Data into Actionable Intelligence

In addition to masking, Skan AI's deep learning models also work to transform the low-level event data collected by the virtual assistants into higher-level task insights. By applying techniques like sequence mining and GPT-based modeling, the platform can uncover the broader context and meaning behind the individual actions, leading to a more comprehensive understanding of your business workflows.

Imagine mapping out a process that reveals the most optimal route AND highlights potential delays and alternative paths.

This is where true operational clarity begins.

These models adapt to each organization's unique needs, delivering insights that align with its KPIs and operational goals.
