Objective

Cisive faced a critical bottleneck in their criminal lead identification process. The manual discovery methods were error-prone, biased, and time-consuming, with significant resources devoted to internal and external research. Moreover, Cisive's acquisition-led growth strategy had inadvertently led to a lack of process visibility, which further complicated lead identification.

The company set ambitious goals: reduce the turnaround time (TAT) from the current three days, minimize application touchpoints, and uncover automation opportunities. Solution

Skan’s automated process discovery capability delivered a comprehensive mapping of the entire lead identification process. This provided a clear visualization of each step involved in the end-end process, from initial data gathering to final lead validation. By understanding the full process flow, precise areas for improvement and inefficiencies were identified. 

Through advanced clickstream analysis, Skan differentiated between high-value and low-value activities, enabling a targeted approach to streamlining operations. This strategic focus promised significant reductions in turnaround time (TAT), directly impacting the speed and effectiveness of lead identification.

A comprehensive analysis of Cisive's application landscape revealed critical insights into time allocation across various platforms. This detailed assessment uncovered redundant tasks and inefficiencies within the digital workflow. By mapping out where and how time was being utilized across different applications, valuable opportunities to consolidate or eliminate unnecessary work emerged. These findings paved the way for further process streamlining, driving significant improvements in operational efficiency.

Skan utilized automation scores and heat maps to pinpoint frequent manual activities that were top candidates for automation. By identifying these high-frequency tasks, suggestions for automation were made to reduce manual effort, thereby increasing efficiency and reducing the likelihood of human error.

Outcome

The implementation of Skan's insights and recommendations yielded significant improvements in the criminal lead identification process. One of the primary outcomes was the identification of major process outliers that contributed to overall high wait and processing times. By understanding these outliers, specific bottlenecks and inefficiencies could be addressed, leading to a smoother process flow and reduced delays.  

There was also a notable improvement in productivity, with an increase in the total number of leads worked on by each participant. By implementing the recommendations, the number of leads processed per day increased, reflecting enhanced efficiency and productivity. This improvement is largely attributed to the reduction of non-value-added activities and the implementation of streamlined workflows. Participants can focus more on high-priority tasks, resulting in a more efficient lead identification process and a higher output of processed leads. Additionally, the optimization efforts lead to a significant decrease in idle time. By minimizing unnecessary tasks and automating frequent manual activities, participants can focus more on process-related work.  

 

The analysis of process steps involving the use of Excel and Notepad uncovered specific opportunities for automation. By thoroughly understanding these steps, Skan identified repetitive and time-consuming tasks that are ideal candidates for automation. Automating these steps reduced manual effort and ensured greater accuracy and consistency in data handling.
